General Information
The Gap Year Program is offered jointly by TEFL Iberia Barcelona S.L. (CIF: B10610319) and Iberia Language Academy S.L. (CIF: B75780593), both located at Carrer d'Aragó, 403–405, Entresuelo 1º y 2ª, 08013 Barcelona, Spain (collectively referred to as "the School").
This document sets out the Terms and Conditions applicable to the booking and participation in the Gap Year Program. By submitting a booking form or making a payment, the Student accepts these Terms and Conditions in full.
These Terms and Conditions may be updated at any time. The version in force at the time of booking shall apply.
The Student
Access to and use of the booking process confers the status of "Student," implying full acceptance of these Terms and Conditions. The Student:
- Must be 18 years of age or older and have the legal capacity to enter into contracts.
- Is responsible for providing truthful, accurate, and lawful information throughout the booking process.
- Must not submit false or fraudulent bookings. The School reserves the right to cancel any such booking and notify the relevant authorities.
This Agreement
This agreement becomes legally binding once the School has received the required deposit from the Student. Spanish law shall apply to this agreement.
Program Structure
The Gap Year Program consists of various components, which may include: a Trinity CertTESOL course, Spanish language classes, cultural activities, and job interview support. The exact components will be confirmed at the time of enrolment.
Once the program has begun, no changes or modifications to the content, schedule, or structure are permitted. Students may choose to skip certain elements at their own discretion, but this does not entitle them to a refund or deferral of those components.
Prices and Payment
Prices displayed are final and inclusive of all applicable taxes unless stated otherwise. The School will not add additional costs beyond what the Student has expressly selected and confirmed. Prices may change at any time, but changes will not affect bookings that have already been confirmed.
Failure to meet payment deadlines may result in forfeiture of the Student's place, with no obligation on the part of the School to provide a refund or alternative dates.
- Credit or debit card — processed via a secure SSL payment gateway. By authorising payment, the Student confirms they are the legitimate cardholder.
- Bank transfer — payable to TEFL Iberia Barcelona S.L. IBAN: ES40 1583 0001 1793 3398 2710 | BIC/SWIFT: REVOESM2 | Bank: Revolut. Reference: Invoice number and student name.
The Student is responsible for ensuring that payment is received in full by the School, with any bank charges covered by the Student. Promotional codes may not be combined and may only be used once.
Course Modifications
Once the program has begun, booking dates and course components may not be modified. Course reservations are individual and may not be transferred to another student. If a student needs to change to a later start date due to illness, accident, or unforeseen circumstances, a Trinity moderation fee will apply where relevant.
Cancellations and Refunds
All cancellation requests must be submitted in writing by email. Notifications received by any other method will not be accepted. Refunds will be returned within 90 days of the refund request and confirmation. Any bank charges or exchange rate differences will be deducted from the refundable amount.
- More than 2 months before the start date: refund of all fees paid minus the non-refundable deposit.
- Between 1 and 2 months before the start date: refund of 50% of course fees, excluding the deposit.
- Less than 1 month before the start date: no refund.
Refunds in the case of visa denial are subject to the following conditions:
- The Student must provide an official copy of the visa rejection letter before any refund can be processed.
- A €300 administrative fee will be retained in all cases.
- If the visa was rejected due to incomplete or incorrect documentation provided by the Student, the Student must appeal or reapply. A refund will only be processed once the appeal or reapplication has been definitively rejected.
- No refund will be granted where the visa was rejected due to: false or misleading information; failure to meet basic eligibility requirements (e.g. insufficient funds, invalid documents, criminal record); or a vague or discretionary consulate refusal.
If a visa support letter has already been issued, no refund will be granted except for any unused accommodation fees.
Dismissal due to misconduct: No refund will be issued if a Student is dismissed from the program for misconduct, breach of school rules, or disruptive behaviour.
Cancellation by the School
The School reserves the right to cancel a course up to 30 days before the start date, or if the minimum number of students is not met. In either case, the Student will receive a full refund of all fees paid, including the deposit. Students are advised to hold cancellation insurance for their flights.
Force Majeure
The School is not liable for disruptions caused by circumstances beyond its control, including but not limited to: natural disasters, strikes, public health emergencies, government actions, or acts of terrorism. In such cases, the School reserves the right to modify, delay, or cancel part or all of the program.
In the event of a forced school closure, in-person classes will be replaced by online classes with the same content and academic programme. No refunds will be issued in these circumstances.
Student Visas
The Gap Year Program may require a student visa depending on the Student's nationality and country of residence.
- The total course balance must be paid at least 3 months before the course start date to ensure timely visa processing.
- Full payment must be received before the Student's visa appointment, so that the School can issue the appropriate course registration letter and proof of payment.
- Once the course registration letter has been issued, no refunds can be made unless the Student provides proof of visa rejection from the consulate.
- If express shipping of visa documentation is required, the associated costs (typically €60–70 via DHL) must be paid by the Student in advance.
- Students are responsible for obtaining all necessary visas and residency permits. The School provides support and documentation but ultimate responsibility lies with the Student.
- Once a student visa has been approved, no refund will be issued.
Postponing before consulate submission: If the Student wishes to postpone their start date before submitting to the consulate, the School will provide an updated enrolment letter free of charge for the first change. A €50 admin fee applies for each subsequent change.
Visa renewals: Students may be eligible to renew their visa upon completing their studies. A minimum 60% attendance of the Spanish course is required to receive the completion certificate needed for renewal. The same payment and refund terms apply as for new enrolments.
Public Holidays and School Closures
The School is closed on local and national public holidays in Barcelona. Classes on these days will not be recovered.
Public holidays in Barcelona include:
During a 12-month student visa, the following holiday periods are included and will not be recovered: 4 weeks in August, 3 weeks at Christmas, and 1 week at Easter.
The School is also closed for approximately one week at Easter and two to three weeks over Christmas. If a Student's course coincides with these closures, the missed time will be added to the end of the course.
Attendance and Absences
- If a Student misses any sessions due to illness, a doctor's note must be provided.
- Classes missed due to a Student's absence cannot be recovered.
- To receive a certificate of completion, a minimum attendance of 80% is required.
- If the number of students in a group falls below 4, the School reserves the right to adjust session times, reduce hours, integrate the student into another group, or organise alternative study activities.
Accommodation
The accommodation service runs from the Sunday before the course starts (check-in) to the Saturday after the course ends (check-out).
- Accommodation must be requested at least 4 weeks before arrival. The School cannot guarantee availability for later requests.
- Accommodation fees must be paid in full before confirmation, at least 4 weeks prior to arrival.
- Upon arrival, the Student must pay a refundable €200 security deposit at the school. This will be returned at check-out, provided there is no damage to the property.
- The security deposit may be paid in cash or electronically.
- The School cannot guarantee specific location, flat type, or included amenities. Accommodation is provided in line with Spanish standards.
- Once the Student has arrived, no refund will be issued if they choose not to remain in the assigned accommodation. The €200 security deposit will be returned provided there is no damage.
The School reserves the right to remove a Student from accommodation due to unacceptable behaviour. In such cases, no accommodation fees will be refunded and the School is not obliged to find alternative accommodation.
Travel Insurance
All students are required to obtain comprehensive travel and medical insurance for the duration of the program. Students who do not require a visa must submit proof of valid travel insurance prior to arrival. The School strongly recommends students also obtain cancellation insurance for their flights.
Employment and Career Support (Double Semester Program)
The School provides support and guidance for job placement, including guaranteed interview opportunities with schools and language academies in Barcelona and the surrounding area. However, the School does not guarantee employment, specific job roles, or job satisfaction. The School shall not be held liable for job loss or failure to secure preferred employment.
Certificates
Students who meet the 80% minimum attendance requirement will receive a certificate of completion stating their course dates, total study hours, and final level achieved.
- Digital certificates are provided free of charge.
- Physical certificates are issued upon request for a fee of €15.
- Certificates can be collected from the School or posted for an additional €15 fee.
- Trinity CertTESOL certificates are issued by Trinity College London approximately one month after course completion. The School will store the certificate for up to 2 years; after this period, the Student must contact Trinity College London directly for a replacement.
Conduct and General Rules
- The School expects appropriate behaviour from all students at all times. Students must respect the school, its staff, and fellow students.
- The School reserves the right to remove a Student from the course and premises due to unacceptable behaviour. No course fees will be refunded in such cases.
- Students must make a confidential declaration regarding any medical condition (physical or mental) that may affect their participation in the program, to allow the School to make appropriate adjustments.
- The School is not responsible for the loss or theft of personal belongings on school premises.
Image and Voice
The Student's image and voice constitute personal data. The School will not use photographs, audio recordings, or videos of the Student for promotional, advertising, or commercial purposes without the Student's express written consent. Such consent will be requested separately and will require an explicit signature.
Liability
The School shall not be held liable for:
- Injury, illness, accident, or medical expenses incurred during the program.
- Loss, theft, or damage of personal property.
- Flight delays, missed flights, or transport disruptions.
- Accommodation issues beyond the scope of refundable security deposits.
- Minor differences in service descriptions due to screen or browser variations.
- Failure or delay in service provision due to force majeure or events beyond its reasonable control.
Right of Withdrawal
In accordance with Spanish consumer law (Royal Legislative Decree 1/2007), the Student has the right to withdraw from the contract within 14 calendar days of booking, without providing justification, by notifying the School in writing. This right does not apply once the service has begun with the Student's prior express consent.
Data Protection
Personal data provided during the booking process will be handled in accordance with the School's Privacy Policy and applicable data protection legislation (Organic Law 3/2018 and GDPR). By completing the booking process, the Student consents to this use of their data and confirms all information provided is truthful.
Applicable Law and Disputes
These Terms and Conditions are governed by Spanish law. Any disputes shall be submitted to the non-exclusive jurisdiction of the Spanish courts.

Amendments
The School reserves the right to update these Terms and Conditions at any time. The version in force at the time of booking shall apply.
